Everything you need to plan, build, and run your stall at IGDC Expo 2026. This page is the single point of reference for all exhibitors - covering stall build rules, height limits, deadlines, inventory, and badges. If your question isn't answered here, please reach out to the IGDC on-site team.
Q1. What booth sizes and types are available?
The standard booth size is 3 m × 2 m (6 sqm). You can choose either a standard Octanorm shell scheme booth or opt for raw space to build your own design.
Q2. What's included in an Octanorm booth?
Each Octanorm booth comes as a 3 m × 2 m shell scheme with an aluminium upright and beam framework, white laminated infill panels for the back and side walls, a company fascia board, basic lighting, and standard event furniture. Specifically:
- Carpet: Needle-punch event carpet (usually blue, grey, or red) laid across the 6 sqm floor area.
- Table: 1 standard information or consultation table.
- Chairs: 2 folding or straight chairs.
- Waste bin: 1 small office dustbin.
- Lighting: 2–3 LED spotlights or arm lights attached to the top frame.
- Power socket: 1 single-phase general power socket (typically 5A–15A) for low-wattage device charging or laptop use.
Branding for the Octanorm booth is the sole responsibility of the organiser.
Q3. What is the maximum height for my stall?
4 metres. All builds must stay within 4 metres.
Q4. Do I need structural drawings?
Yes. All builds require structural drawings stamped by a qualified structural engineer.
Q5. Are there rules for walls that face a neighbouring stall?
Yes. Any rear wall facing a neighbour must have a finished surface white or neutral above the neighbour’s 2.5 m line.
Raw Space Builds: Submissions & Approvals
Q1. When are my stand design drawings due?
Your plan, elevations, and sections are due 30 days before move-in.
Q2. What is a RAMS, and do I need one?
A Risk Assessment & Method Statement. It’s required for working at height, hot works, and heavy lifts.
Q3. Who counts as "the Contractor"?
The vendor assigned to fabricate your stall whether allocated by IGDC or an external fabricator you appoint yourself. All build rules apply equally to both.
Q4. By when must my stall build be completed?
By 1:00 PM on 27 October 2026. If the deadline is missed, the Organiser may stop the work, and a fine of Rs 5,000 + taxes will be charged to the vendor.
Q5. Is there a penalty for late dismantling?
Yes. A fine of Rs 10,000 will be charged if the Contractor fails to complete dismantling within the given time.
Q6. Who is liable for damage to the venue?
The Contractor. Any damage to the venue or its facilities during the event is the Contractor’s responsibility, and they bear the full cost of repair or replacement.
Floor & Fixings
Q1. What is the floor loading limit?
750 kg/sqm. Any point load above 250 kg requires load-spreading plates.
Q2. Can I drill, paint, tape, or anchor into the venue?
No. Drilling, painting, taping, and anchoring to the venue floor, walls, or columns are not permitted.
Q3. How should cabling across walkways be handled?
All cabling must be ramped or covered wherever it crosses a walkway.
Materials & Fire Safety
Q1. What are the material requirements?
All fabrics, carpets, and decorative materials must be Class 1 fire-rated, with certificates available on site.
Q2. Are naked flames, pyrotechnics, or haze allowed?
No. Naked flame, pyrotechnics, smoke, and haze are not permitted.
Q3. Do I need a fire extinguisher at my stall?
Yes. One 6 kg CO₂ or dry-powder extinguisher is required per 18 sqm of raw build, accessible at all times.
Inventory: Inclusions & Add-ons
Q1. What's included with my stall versus what I pay for?
Inclusions are provided free as part of your stall package, based on your stall category. Add-ons are chargeable items rented from the official supplier on a first-come, first-served basis.
Q2. How and when do I order inventory?
Through the Exhibitor Services Portal, at least 14 days before build-up. All items are subject to availability.
Q3. When will my items be delivered?
To your stand by 8:00 AM on build-up day, 27 October 2026.
Q4. What happens if items are damaged or returned late?
Damages, losses, and late returns are invoiced after the show at replacement cost.
Exhibitor Badges
Q1. Do I need a badge to enter?
Yes. The Exhibition Badge is mandatory for all exhibitors to enter the hall on all four days of the Expo.
Q2. Where and when do I collect my badges?
From the Registration Counter, on:
- 27 October 2026, 1:00 PM – 6:00 PM
- 28 October 2026, 8:00 AM – 9:00 AM
Q3. How many badges does my booth get?
A 3 m × 2 m booth is allotted a maximum of 2 badges.
Q4. How do I arrange badges for support staff?
Support Staff Badges are obtained from the Registration Counter. You must inform the IGDC organisers at least 10 days before your set-up date, and submit your staff list at least 7 days before the event start date. Late submissions may delay badge issuance.
